Position Summary & Responsibilities
Position Summary:  This position is located in a medium/minimum custody correctional facility for adult male felons located near Norton, Kansas.  The work involves confidential clerical support to the Warden, Deputy Warden and Attorney which includes planning, scheduling, data collection, web page maintenance and assistance with other electronic systems.  The incumbent is required to be very efficient in word processing from dictation or handwritten copy.  The incumbent promotes good public relations among staff, guests, and callers.  Minimal supervision, latitude in deciding priorities, and independence in completing work are components of this position.  Handles confidential information regarding inmates and employees on a regular basis.

Job Responsibilities may include but are not limited to the following:  Interprets, recommends revisions to, and insures compliance with statutes, regulations, policies and procedures.  Provides direct administrative support by preparing or directing the preparation of correspondence, agendas, and materials including administrative and public reports for reproduction and distribution; maintains calendars, schedules and plans events and meetings.  Responds to questions from other offices and the public; schedules and places conference calls.  Researches and evaluates special projects involving independently collecting and compiling information from a variety of sources, analyzing results and preparing final recommendations to an administrator.  Enters and manipulates data and information in word processing, spreadsheet, and database applications by creating word processing templates and form letters, macros, functions, tables, queries, and reports. May maintain web pages.  Establishes and maintains a record, filing or registration system(s).  Researches routine legal assignments; prepares evidence as requested by attorneys.  Oversees the maintenance of an adequate level of office supplies, equipment, and property, which may also include ordering and purchasing.

Qualifications

Education:  High School Diploma
Minimum Qualifications:  Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications:  Knowledge of the operation of office equipment, personal computers and communications systems.  Knowledge of rules, regulations, policies and procedures.  Knowledge of specialized formats for letters, memos and reports.  Ability to apply and explain rules, regulations, policies and procedures.  Ability to understand and follow verbal and written instructions; read and comprehend written materials.  Ability to operate personal computers and office equipment.  Ability to use word processing, spreadsheet and database applications, including the ability to create functions, macros, tables, forms, queries and reports.  Ability to establish and maintain effective working relationships.  Ability to record, file and transmit information.  Ability to communicate effectively both verbally and in writing.
Post-Offer, Pre-employment Requirements:  Applicants selected for interview will be evaluated by an interview panel using performance/behavior based interview questions, and possibly a performance or written test. The interview panel will make recommendations to the Warden for final approval.  A second interview may be conducted.  Applicants will be subject to background check and criminal history investigation; must pass a drug screen and a TB test unless promoting, transferring, or demoting from another safety sensitive position within the same agency.
